Office Manager
About Us: Pond Pro Canada Ltd is a dynamic and growing company specializing in pond and lake products, services, and large aeration system installations across Canada. We’re seeking a highly organized, dedicated and versatile Office Manager to lead and oversee our busy office operations, with a focus on sales/ customer service, marketing, and human resources (HR).
Position Overview: As an Office Manager, you will report directly to ownership and help be responsible for the day-to-day and long-term strategic management of the business. You will lead a small team (5-10 people), playing a vital role in encouraging and fostering a positive work environment, growing the business, and maintaining operational efficiency.
Key Responsibilities:
Customer Service/ Relations:
- Respond to customer emails and phone calls professionally
- Assist in-store customers and process transactions through our POS system.
- Speak with upset customers on behalf of employees
- Manage wholesale inquiries, early buys, and contract negotiations
Marketing & Sales Oversight:
- Help to manage and guide advertising campaigns across numerous platforms, including Google Merchant/Shopping/Ads, and Amazon Ads.
- Work closely with our current graphics and marketing team
- Oversee website updates and improvements
- Oversee branding, social media, newsletters, and marketing reports
- Drive sales through various platforms, including Amazon, Walmart, UFA, Co-op, and the direct website
General Operations & Daily Administration:
- Answer employee questions and ensure smooth day-to-day operations
- Assist in matters concerning sister companies (Aquatic Engineering, Ackenberry Trout Farm)
- Ensure accurate product listings and yearly pricing updates across online platforms.
- Schedule employees, approve holidays, fix hours, and manage shift coverage
- Organize daily morning meetings with office staff, weekly meetings with owners, and monthly staff meetings
- Maintain accurate meeting notes and ensure follow-through on action items
Human Resources (HR):
- Conduct employee performance reviews, hiring, training, and discipline
- Develop and enforce company policies and health & safety procedures
- Mediating conflicts, addressing employee complaints, fostering a positive and inclusive work environment, and managing performance.
Qualifications:
- Business Degree or equivalent experience (preferred)
- Confident working with computers and creating sales and marketing reports
- Strong knowledge of digital marketing platforms and e-commerce tools
- High competency in leadership, communication, and organization
- Experience with Amazon, Walmart, and BigCommerce platforms is considered a strong asset
- Valid driver’s license and ability to travel occasionally (for trade shows and/or business meetings)
